Privacy Settings Overview

The Privacy tab in Settings lets you control how AutoNotes handles document saving, recording storage, and client record visibility. These settings apply at the organization/practice level and help you manage compliance preferences.

Document Saving

Document Saving Preference

This toggle controls whether AutoNotes saves generated notes in your account.

  • On — Notes are stored securely in your organization.

  • Off — Notes are not saved automatically. You can still download them manually.

This setting is useful for organizations with strict internal policies around record retention.

Recording Storage

Voice Recording Storage Preference

Controls whether audio recordings are stored after generating documentation.

  • On — Recordings are saved and encrypted.

  • Off — Recordings auto-delete after document generation unless manually saved.

If your organization prohibits storing audio, leave this turned off.

Client Record Sharing

This determines which users in your organization/practice can see client profiles.

You can choose:

  • Off — Only the clinician who created the client can view it.

  • Global — All users (with appropriate roles) can view all client records.

  • Individual — You can choose which team members have access per client.

Client sharing affects supervision workflows, team collaboration, and compliance.

BAA (Business Associate Agreement)

If you’ve signed your BAA, you’ll see confirmation here.

The BAA enables PHI use within the AutoNotes application.

You can also download your BAA from this section for your records.
